Coordinate with departments, faculty members, student clubs, guest speakers, vendors, suppliers, caterers, and technical teams.
Manage all event logistics, including venue booking, seating arrangements, stage setup, sound systems, lighting, refreshments, and other operational requirements.
Coordinate with the marketing and media teams to promote events and ensure effective branding, publicity, and event coverage.
Prepare and manage event budgets, procurement of materials, expense records, and vendor payments.
Ensure compliance with college policies, safety standards, crowd management, security arrangements, and contingency planning.
Supervise student councils, clubs, and volunteers while encouraging active participation and leadership.
Prepare post-event reports, maintain event calendars, documentation, inventory records, and recommend improvements for future events.
Organize staff events, workshops, cultural celebrations, employee engagement activities, and perform additional duties assigned by the Chief Operating Officer.
Specification:
Bachelor's degree in Business Administration, Marketing, Event Management, Hospitality, or a related field.
1–3 years of experience in event planning, event coordination, or project management.
Strong event planning, organizational, and time management skills.
Excellent communication, interpersonal, and stakeholder management abilities.
Experience coordinating with vendors, sponsors, clients, and external partners.
Proficient in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace.
Basic understanding of budgeting, procurement, and expense management.
Ability to work under pressure, solve problems quickly, and manage multiple events simultaneously.
Willingness to travel and work on weekends or outside regular office hours when required.
Professional attitude with excellent coordination, leadership, and teamwork skills.
